Pharmacy Tech Externship Coordinator

Under the direction of the Director, Career Services and with an indirect reporting relationship to the Program Director, is responsible for coordinating, facilitating, and supervising the externship training. This includes student transition from class work to externship to graduate in preparation for placements. Locates, maintains, and acquires new externship sites and contracts; schedules and supervises students’ externship assignments; advises students and provides classroom instruction in accordance with the program’s objectives. Assists students in gaining meaningful employment in jobs applicable to their field of study. Guides students with the job search process, including teaching workshops and critiquing resumes.  Provides excellent customer service to current and graduating students in accordance with the mission and purpose of the college. Coordinates and assists graduates with job interviews and obtaining entry-level healthcare career opportunities.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: 

  • Establishes, acquires and maintains contracts with extern sites using the approved college agreement; maintains accurate extern site information database, including contact information and specific contractual agreement termination and expiration dates, and initiates renewal process timely.
  • Maintains on-going contact with local employers to obtain information on externship opportunities.  Researches and develops new externship sites with new employers. Develops and enhances working relationships, facilitates student employment opportunities, and ensures positive long-term relationships with employers.
  • Places predetermined number of students per week into externship opportunities with local employers. 
  • Maintains accurate externship information database and prepares externship site reports as required.
  • Collects and maintains appropriate documentation related to externship education, such as health forms, CPR certification, student evaluations and site evaluations.
  • Advises the Director, Career Services of the general effectiveness of the externship education portion of the program.
  • Advises students about externship site choices and assigns students to extern sites as appropriate. 
  • Monitors sites to include, phone or on site visits, mediates conflicts, establishes specific learning objectives, determines and records attendance concerns. 
  • Tracks externship attendance and ensures that all extern assignments are completed as determined by the program.
  • Coordinates a plan to best observe, instruct, and evaluate students learning and practical skills which includes a direct observation assessment of skills in applicable setting for related area of instruction.
  • Establishes and maintains communication lines between the extern facilities and staff and American Career College.
  • Apprises extern staff of student objectives in each program area.
  • Works with extern staff to clarify policies and procedures specific to facility.
  • Validates with extern staff the effectiveness of student placement and progress in meeting mutually established objectives to ensure that the experience is adequate and that the student is achieving a satisfactory level of performance.
  • Assists the Director, Career Services to maintain program accreditation, especially as related to meeting standards for externship education.
  • Achieves the established program extern-to-placement conversion percentage goals.
  • Assists with graduation ceremonies.
  • Attends Advisory and Faculty meetings to network and derive solutions to mutual concerns.
  • Assists in classroom instruction or clinical instruction of students as needed. (See applicable job description for program specific instructor job responsibilities.)
  • Participates in professional development and organizations in order to maintain an understanding of current ideas, research and practices, attends meetings, workshops and seminars to enrich personal growth, knowledge and skill in management development.
  • Maintains professional appearance for position and serves as a role model, leader and mentor to the college community.
  • Adheres to College policies and procedures and acts as a role model to all staff and students through guidance and example.
  • Maintains regular and timely attendance, reports to work as scheduled and assures time worked and/or time-off is recorded properly. 
  • Conducts job responsibilities in accordance with the standards set out in the College’s Code of Ethical Conduct, Compliance Agreement, Sexual Harassment Policy or any of its policies and procedures, applicable federal and states laws, and applicable professional standards.
  • Maintains established department policies, procedures and attends in-services and other required meetings.
  • Maintains confidentiality of all student, associate, and/or college information as required.
  • Exercises care, proper use and maintenance of department equipment and supplies and identifies unsafe conditions and makes appropriate adjustments.
  • Maintains order, cleanliness and safety at work.

EDUCATION:

  • High school graduate or equivalent required.
  • Must be a graduate from a program accredited by an agency recognized by the U.S. Secretary of Education or the Council for Higher Education Accreditation (CHEA) in the specialty field or subject area preferred.
  • Must have a minimum of three (3) years of experience in the type of pharmacy setting for which they are training students.
  • Must demonstrate training in educational methods, testing and evaluation and evidence strength in instructional methodology, delivery and techniques as indicated by evaluation by supervisory personnel within 30 days of beginning instruction.

LICENSES/CERTIFICATIONS:

  • California licensure or registration to practice as a pharmacist or pharmacy technician required. 
  • Certification by the Pharmacy Technician Certification Board (PTCB) preferred. 
  • Must hold an active membership in a national pharmacy organization and the corresponding state affiliate.

KNOWLEDGE/EXPERIENCE:

  • Two (2) to three (3) years of experience working with or in extern sites, placing student, and coordinating related documents preferred. 
  • Experience with MS Office. 

COMPENSATION:

Minimum: $24.46/hour

Maximum: $33.03/ hour
